Policies and Procedures



YMCA CHILD CARE is an approved program of the YMCA of Greater San Antonio.  The Y Early Learning Centers provide care for infants to kindergarten age. The Y AFTERSCHOOL program is provided in cooperation with the YMCA and your local school districts. Y Day Camp Full Day care is available during the Winter, Spring Break and Summer months. Additional activity information will be provided through your Y AFTERSCHOOL sites. 

The YMCA, as a non-profit organization, is acutely sensitive to maximizing resources in order to provide the best possible program for the lowest possible cost to participants.  The following policies and procedures apply to the Y Child Care Program which is available immediately after school, early release days and full day programs. Hours of operation are from school dismissal until 6:00 p.m. or 6:30 p.m.*, Monday through Friday, August through June.  Y Early Learning Center programs offer care from 6:30 a.m. to 6:00 p.m. Any time you have difficulty adhering to our policies and procedures or meeting the due dates of our billing schedule; please notify the billing and information center at 210-924-2277 immediately.

Selected YMCA sites

The YMCA offers Full Day Care during school holidays and in-service days for an additional fee.  Full Day Care is a separate program, which may require an additional registration.  Once you have completed your initial enrollment, you may register over the phone to the billing and information center office at 210-924-2277.


The purpose of YMCA CHILD CARE is to provide affordable child care.  Programs are specifically designed to meet the needs and interests of PRE-SCHOOL and SCHOOL AGE children and their families. YMCA CHILD CARE is licensed as a child care center by the Texas Department of Family and Protective Services (TDFPS) or Texas Department of Health (TDH) where applicable.

Goals and objectives

The goals and objectives of YMCA CHILD CARE are to support and strengthen the family unit and to deliver the program in a positive environment. Safety, support and care allow the family peace and dignity knowing their children are in high quality, supervised care.


Holidays and bad weather 


When school is not in session due to school holidays or in-service days, the YMCA does offer full-day child care or day camp programs.  Registration flyers for full-day care or day camps will be available at Y AFTERSCHOOL sites prior to each holiday or in-service day.   Contact your YMCA Branch for more details.  No care will be provided on YMCA holidays. 

YMCA Holidays are defined as:

Labor Day, Thanksgiving and the day after Thanksgiving, Christmas Eve, Christmas Day, Near Years Eve, New Years Day, Martin Luther King, Good Friday, Battle of Flowers, Memorial Day and Independence day.

Inclement weather

If the schools or centers are closed or dismissed early due to inclement weather, Y Child Care will not be provided.  No credit is given for inclement weather days.

School/Center closures due to health and safety reasons program fees will be evaluated individually.


Check-in and check-out

Pre-School Arrival

To establish a daily routine and smooth transition, children are required to arrive no later than 9:00 a.m. No admittance after 9:00 a.m. The only exception will be if the child has a doctor’s appointment. Parents must notify center of appointment prior to 9:00 a.m. and provide a note from the doctor’s office upon entering. Children will not be accepted during nap time. Please check with director to verify nap time hours.

Y School Age CHECK-IN

Each child is responsible for checking into Y AFTERSCHOOL directly after school each day.  Parents are contacted about those children who do not arrive within the first 30 minutes after school dismissal.  Parents are required to notify the YMCA Branch office before 12:00 p.m. if the child(ren) will be absent or late to Y AFTERSCHOOL.  Parents must accompany the child into the center and check-in the child with a staff member during full day.


No child may leave the Y AFTERSCHOOL site without being signed out by an authorized person on the enrollment agreement; or a person authorized by emergency pick-up verification procedures.

Special Note

For the safety of your child, all children must be checked out by a designated authorized person. When picking up your child, as a precaution, please do not leave valuables visible in your car. Texas Department of Family and Protective Services licensing standard 746.501(2)

Billing Policies

  • Tuition is calculated in equal weekly installments. Payments are set up for automatic draft one week in advance. When registering you may be required to pay your first and 2nd week at time of registration in order to get you on the correct automactic draft cycle.
  • Participants choosing not to be drafted will pay monthly. Payments are due on the 25th preceding the month. Ex. October tuition would be due September 25th.  
  • All checks are deposited daily.  We do not honor post dated checks.
  • A $25 late fee will be charged on the 1st of each month for afterschool and $10 a week for preschool
  • All bills must be paid (including any additional fees such as a tardy pick-up fees) prior to services being rendered.Those on automatic draft will have their fees withdrawn on the next scheduled draft.
  • If you need financial assistance (reduced rates), please apply by emailing childcare@ymcasatx.org. Financial assistance is awarded in accordance to your family’s financial need and funds available.
  • There are no refunds on inclement weather days.
  • Parents are eligible for a Pre-school vacation credit after the child is enrolled for six months. Vacation credits are calculated at 50% off the weekly fee.  You must give the pre-school center a two week written notification of when you will be using the credit.  Vacation credit not used in the twelve month period will be forfeited and cannot be carried over to another year.

Withdrawal From The Program

For Y AFTERSCHOOL and Y Early Learning Center one week advanced written notice is required even if withdrawal occurs prior to the opening of the program.  In order to prevent further charges it is necessary to notify the billing department and not the Y Child Care site. Registration fees and Membership fees are non-refundable

Children absent for 2 consecutive weeks without notification will be automatically dropped from the program and will still be responsible for the monthly tuition prior to cancellation.
